Forkbeard posted this guide to running a weekend event over on the Bel boards in response to Yestare XI. I feel that the gist of it is pretty spot on.
Here is the rough draft of my quick and dirty guide to weekend events.
No frills and sillyness.1. Rent a park you can camp and fight in. Fancy Parks are nice, but what you NEED is grass to fight on. Parks with castles and cool backgrounds typically cost a lot of money. If you are guaranteed a great turnout, go for it. If you think you might not get a lot of people, renting a cheap place that meets the field needs can save you a lot of money.

Announce event. Get on Facebook, the forums for your group, both nationally and locally. Post all the important info, INCLUDING MAPS.

Print out waivers from intertubes. You can write your own, but why? For god’s sake, don’t pay some one to write them for you.
4.
Get table (probly already in the park), get some one to sit at table and run troll. This should be a team of like 3 people; typical non-com’s who you can trust. They get to handle the money.
5.
Have weapon check at 9. Don’t screw around. Get it going and get it done. All you need for weapon check stickers are… stickers. They only need to be recognizable to the immediate event staff. They do not need to be printed with the date, event name, realm name, or any other bullshit. If you can get em for free, sure, but they are not worth paying for.
6.
Fight from 11 to 2, break for lunch. Water Breaks should be less than 10 minutes. This is hard to stick to, but if you try, everything keeps moving along smoothly.
7.
Fight from 3 till the feast gets there. Keep the fighting going all afternoon. If everyone is really getting worn out, do easier, silly fights for a bit. Just keep it going
8.
Send mofo's at 5 to get the feast. Send a team, so they don’t get lost. Both with phones. Do not let a whole pack of people go along. Keep it business like, because it damn well IS.

Slow mofo's get back at 6:30. This is just a fact. It always takes them longer than it should. That’s why you….

Have feast at 7. Real fighting never really lasts later than 5:30 or so if you’re running the battles right. Feast at 7 gives people time to get cleaned up and changed, but it’s not LATE.
11.
Get drunk and go to sleep. This is important. Not the drunk, but the sleeping at the site. Event Co-coordinators are responsible for the party. They must be on site at all times, barring SERIOUS EMERGENCIES. Do NOT think that you can just go home to sleep and everything will be all right. If something happens, you need to be there.
12.
Clean up in the morning. As event co-coordinators, you represent your organization. Don’t leave a mess in the campground. If you need to, have your realm people spread out and sweep the whole site to get all the little bits of tape and stuff.Do all this stuff and you will have a sucessful event.
